Tips on Writing a Great Greeting Email for New Hires

From the moment you start searching for a new employee there are many business emails – but none is as important as a greeting email for new hires. By sending this email, you are showing them what kind of a company you are and what you stand for.

By sending them a greeting email, you are giving them a warm welcome into your company and your community – they will feel inspired and happy to work for you. This will mean that they are already a part of the team. Among other things, it will say on which day they start working, what to expect, who they will meet or some paperwork.

If you are a bit confused on what this email should look like, here are some tips and samples that you’ll find useful.

 

What to Include

  1. At the beginning of the greeting letter there should always be a starting date and time. Time could be your regular starting time but you could, for example, ask your new employee to arrive a bit earlier or later – whatever works best for you – so that you can be there to give them a tour.
  2. You should incorporate some information o where they should go, too. For example, if they should go to your office or the reception desk. If they need to go somewhere further than the reception desk, provide directions.
  3. Let them know if they need to bring anything like their bank account details, social security number etc. include helpful links or attachments – anything that new employees could find helpful on their first day. A good idea would be that you send them your company’s mission and vision too, so that they can know what to expect and strive for.
  4. You could also describe their first day to them in this email so that they know what to expect – for example ‘ You will be going on a tour of the company with me after which I’ll introduce you to your closest coworkers… ‘. This will make your new employees less nervous about their first day.

  1. The letter may include bios of their closest coworkers and some of the managers they will report to. If you haven’t already given them a handbook, this would be a good place to attach it.

You could write an extremely simple email or a more complicated one, depending on the complexity of the job itself and your personal preferences. You could include many more things in this email – if you have any passwords that they will need to know or any documents that they will need every day, it’s all up to you.

If you want your letter to look professional and impressive, you should make sure that you do the following properly.

  1. Make sure that your grammar and spelling are correct. A new employee will find your company a bit underwhelming if you send a letter full of mistakes.

  2. Be clear and precise. Don’t just offer them a bunch of information that they can’t understand. Use simple, clear words that will let them know exactly what they need to do and how to do it.
